Job Description:

Purpose of Position
The Administrative Assistant is responsible for staffing the public reception desk, triaging incoming calls, processing incoming and outgoing correspondence. In addition, the Administrative Assistant provides departmental support to Claims, Client Services and Operations, as required. 

Responsibilities
*     Provide administrative support to departments as requested.
*     Answer and direct telephone calls to the appropriate extension.
*     Greet and direct visitors as appropriate.
*     Separate claims from regular mail; sort, count, date stamp and distribute to claims analysts.
*     Manage outbound mail; forwarding of claims/correspondence to the appropriate group as applicable.
*     Manage the collection and processing of provider W9s.
*     Manage the COBRA invoicing, correspondence and collection process in coordination with the Client Services Manager.
*     Assist with pricing of Anthem and First Health claims.
*     Update and maintain provider profiles in the claims processing system.
*     Enter and update prior authorization data in the claims processing system, as received by client delegated vendors.
*     Manage the claim recoupment/refund process in coordination with the Claims Manager.
*     Prepare office correspondence and documents as directed.
*     Other duties as assigned.

Position Requirements
*     Excellent verbal and written communication skills, including active listening. 
*     Ability to operate phone, office and mail processing equipment required to fulfill position responsibilities.
*     Ability to operate spreadsheet, word processing programs and computer equipment required to fulfill position responsibilities.
*     Working knowledge of business operations.
*     Working knowledge of federal regulation specific to the administration of self-funded employer health and welfare plans, including ERISA, Department of Labor and Health and Human Services.
*     Ability to work with minimal supervision.
*     Readily adaptable to the changing needs of the business; able to manage multiple priorities; tolerance for ambiguity.
*     Ability to use sound judgement, identify next steps to be taken, and develop appropriate solutions.
*     Ability to collaborate with multiple parties to solve problems.

Skills and Education
*     High school diploma; Associates degree, preferred.
*     Minimum 1 to 3 years experience in a healthcare or insurance industry setting.
